Executive Roles

President

Management
Leads Executive and provides support where needed.
 Chairs meetings and events as appropriate. 
Creates schedule and develops the agenda for the monthly meetings. Oversees Administration, Marketing and Communications.
 Directs performance management for the Executive.

Relationship Management
Interfaces with CIS (Conference of Independent Schools of Ontario)

Event Management
Chairs the Annual General Meeting (AGM) in May.
 Oversees the organization of the NISPA Welcome Breakfast and determines agenda and logistics for the event, delegating as appropriate.

Finance/Banking
Attains signing privileges.
 President and Treasurer work co-operatively to complete necessary paperwork for the banking institution before the end of June in order to provide a smooth transition for the new executive starting in the fall.

Past President

Management
Supports and advises the Executive Committee as needed.
Mentors the President. 
Attends and supports all meetings.
 Chairs the Nominating Committee and actively recruits members to the Executive along with the support of the President and another Executive Member (either a former President, Member-at-Large or VP).

Event Management
Responsible for securing a location and organizing the Annual General Meeting (AGM), in May with the host school. Maintains good records and attends and supports all events.

Vice President

Management
Supports President’s role, completes tasks as delegated by President. Carries out President’s roles/responsibilities in their absence.

Administration
Maintains Member list, liaising with Marketing/Social Media Chair and Technology/Web Chair as needed.

Event Management
Assists with planning of all events, as needed.
Tracks replies for events, following up with potential attendees as needed (enlisting help from co-ordinators as required).
Ensures venues have been chosen for next year's events.
Distributes/collects and collates evaluation forms to improve and plan next year's events at AGM.

Communication
Replies to member questions forwarded from Marketing/Social Media Chair or other Executive members.

Treasurer

Reporting
Prepares and presents an annual budget to be approved by the Executive Committee no later than October 31 of each new school year.
 Presents financial statements monthly at Executive Committee meetings and the Annual General Meeting.

Banking
President and Treasurer work co-operatively to complete necessary paperwork for the banking institution before the end of June in order to provide a smooth transition for the new executive starting in the fall.
Responsible for all monies collected (e.g. Membership fees) and disbursed.
 Maintains the books of account for NISPA.

Experience
Suggested that the person have some financial experience if possible.

Secretary

Communication
Distributes ( via email) the meeting agenda to the Executive, as set out by the President.
Records the minutes of each Executive meeting.
 Receives approval of the minutes from the Past President, Treasurer and President and then distributes them to the Executive, in a timely manner.
 Records, distributes and presents the minutes of the Annual General Meeting.
Sends out summaries of information to be posted to the NISPA website, obtained and compiled by the Executive which were received from NISPA events.
Maintains a yearly record of all minutes.

Secretary Back Up

Occasionally takes minutes at the Executive meetings if the recording secretary is absent.

Marketing and Social Media Chair

Social Media
Post NISPA event registration information on Facebook and Instagram. Post photos from NISPA events following event dates on Facebook and Instagram. Post events held at other NISPA schools on Facebook and Instagram.

Event Management
Sit at registration table with NISPA event organizer and check in NISPA members in as they arrive. Update NISPA event organizers/VP with registration numbers and pre/post event reporting.

Communication
Writes newsletters in MailChimp using templates with written contributions highlighting event details submitted by NISPA event organizers. 
Create and email NISPA Newsletter to NISPA Master List using MailChimp.
 Support event organisers and Technology and Web Chair in creating templates.

Website
Work in liaison with Technology and Web Chair.

Technology and Web Chair

Website
Update website with NISPA content and event information as required (ongoing).
Update registration pages for NISPA events on the website.
 Post photos on website.
Responsible for educating Executive and NISPA members on how to access NISPA site. Enhance member experience on the website.
 Ensure in liaison with the webmaster that web servers, hardware and software are operating accurately. Design website in liaison with webmaster.
 Generate and revise web pages.
Examine and analyse site traffic (SEO-Search Engine Optimisation).
 Create and modify appearance and setting of website.
 Test website to see if there are any parts difficult to use.

MailChimp
Maintains and updates MailChimp Master Email list, including removal of old contacts based on instruction from VP. Develop templates for newsletters, event invitations and event reminders in MailChimp.

Event Management
Share event registration Excel spreadsheets as NISPA members register.

Marketplace Chair

(Estimated time commitment: 10 hours per month/Sept., Oct., Nov.; 3-4 hours per month other months)

Event Management
Coordinates with the host school, on a mutually agreed upon date (October), to receive approximately 75 representatives of NISPA member schools, including Shop Managers.
 Develops with CIS Representative Shop Manager Workshops in October and February/March.
Communicates with Vendors and Guest Schools regarding registration process, fees, location, and requirements of vendors. 
Ensures a venue has been chosen for next year’s Suppliers Day.
 Distributes/collects and collates evaluation forms to improve and plan next year’s event.
Where possible seek sponsorship of the event by way of services, such as catering, to offset the cost of holding these events.

Event Communication
Create and email NISPA event registration invitations in liaison with external webmaster.
 Create and email NISPA event registration reminders approximately 4 weeks prior to events and 2 weeks prior to events if necessary in liaison with external webmaster.
 Create event communication schedule in liaison with external webmaster.

NISPA Connects Chairs / January and February

Event Management
Coordinates with the host school, on a mutually agreed upon date, to receive approximately 50 representatives of NISPA member schools.
 Forum is offered to discuss a topic which has been collectively decided by the NISPA Executive and stems from discussions/needs assessments.
 Organizes an educational and inspirational workshop.
Responsible for securing speaker or deciding topic(s) of discussion.
 Organizes all details before, during and after the event.

Event Communication
Create and email NISPA event registration invitations in liaison with external webmaster.
Create and email NISPA event registration reminders approximately 4 weeks prior to events and 2 weeks prior to events if necessary in liaison with external webmaster.
 Create event communication schedule in liaison with external webmaster.

Member At Large

(Estimated time commitment: as needed)

Support
Assists Executive members wherever/whenever called upon to provide support and advice where needed.

All Executive Members

Ensure that all outgoing mail/correspondences to the member schools and internally, i.e. Agendas, Minutes, etc., will bear the NISPA logo.
